Administrative Assistant
The Administrative Assistant at Dodge City Roundup, Inc. is a full-time position that is responsible for managing the office environment while actively promoting and implementing the organization’s mission. Additionally, the Administrative Assistant works to uphold and communicate the mission of Dodge City Roundup, Inc., contributing to its overall goals and community presence.
Duties and Responsibilities:
● To understand, commit and promote the mission of Dodge City Roundup, Inc.
● Possess the ability to work in an atmosphere of complete confidentiality regarding personal and public information.
● Professionalism in manner and appearance; in person and on the phone; patience, tact, cheerful disposition and enthusiasm.
● Proper grammar and proofreading are required.
● Receptionist duties include, but are not limited to, maintaining office supplies, maintaining cleanliness and organization of the office. Providing the highest level of customer service and preparing materials as needed.
● Assist officers and directors as needed.
● Ability to work a flexible schedule, including occasional evenings and weekends, to support special events and meetings as needed.
● Manage social media including website and other advertising platforms as requested.
● Compile and create reports as requested.
● Arrange and participate in conferences and meetings as needed.
● With the assistance of the treasurer, finance committee and corporate accountant manage income and expenses of the organization.
● Work with the Sponsorship committee to manage current sponsorships and establish new sponsorships each year, keeping contracts current and up to date.
● Manage the tickets sales including hiring, training and supervising ticket sales staff.
● Be point contact for Dodge City Roundup, Inc., especially during our events, willing to assist wherever needed.
● Assist officers and committee chairpersons in completing required applications.
● With the help of officer input, write grants and meet deadlines as required.
● Assist officers and committee directors in obtaining needed personnel for the rodeos including but not limited to: ushers, security, medical, and national anthem singers.

● Arrange meetings with national sponsors and contract personnel and PRCA National Convention as needed. If asked to attend this meeting, the cost of travel, lodging and convention registration will be paid by Roundup. Required Qualifications:
● Minimum of high school education.
● Proficiency in Google, Microsoft Word, Excel and database management experience is necessary.
● Excellent verbal and written communication skills in English with attention to detail. This includes excellent grammar, spelling and proofreading skills.
● Strong time-management skills and multitasking ability.
● Ability to work independently with little supervision. This includes possessing high ethical standards, excellent attendance and sound judgment.
● Maintain confidentiality regarding records, personal, financial and business information.
● Ability to obtain and maintain a valid Kansas driver’s license.
● Experience managing budgets and expenses or willing to learn
● Knowledge of rodeo or willingness to learn rodeo and western lifestyle.
● Physical ability to carry supplies weighing 20-50 pounds, ability to stand and/or sit for extended periods of time and ability to bend, stoop and kneel as necessary to perform the responsibilities of this position.
● Bilingual (English/Spanish) is beneficial but not required.
● Cannot be an active director or immediate relative to an active officer.
