Position Title: Event Coordinator
Reports to: Executive Director
Status: Full-Time
Starting Pay: $17.00 an hour
Job Purpose
The Event Coordinator organizes, manages, and executes various museum events, including exhibitions, tours, educational programs, and venue rentals. The coordinator will also assist with fundraising and work closely with the museum’s staff to ensure seamless operations and a positive experience for all attendees.
Primary Duties and Responsibilities
Event Coordinator reports to and works closely with the Executive Director. The Event Coordinator performs some or all the following duties:
• Coordinate the planning of museum events, including meetings, tours, venue rentals, and educational programs
• Proactively search for and create new event opportunities
• Oversee event logistics, such as venue preparation, catering, technology equipment, and decorations
• Supervise event set-up and breakdown to ensure a smooth event and meet deadlines
• Prepare contracts for new events
• Invoice events promptly and follow through with payment collection
• Schedule and supervise staff for events
• Assist the Kitchen Manager with establishing menus and pricing
• Coordinate with the Development Coordinator to support existing fundraisers, such as the Boots and Beer Auction, Bull Fry, Santa Breakfast, etc.
• Assist in answering the phone and managing event requests
• Collaborate with the Administrative Assistant to develop promotions and media content to ensure events are well-publicized and attract a good audience
• Assist in creating event budgets and managing costs to ensure the events stay within budget. Keep detailed records of events and budgets.
• All other duties as assigned by the Executive Director
Qualifications/Skills Required
• One year of experience in event coordination
• Excellent communication skills, both verbal and written
• Strong attention to detail and problem-solving skills
• Goal-oriented and a strong team player
• Must be able to prioritize and be flexible with multiple tasks and deadlines
• Proficient with Microsoft Office Suite
• Must possess and maintain a valid driver's license
Benefits
• Starting hourly rate $17.00
• 40 hours/week. Mainly Monday – Friday. Must be able to work flexible hours, including evenings and weekends, depending on event schedules
